With the days of randonm invoice generation software (or word!) and your own spreadsheets are coming to an end with MTD. So what software and/or systems do peeps use for their accounts. Ideally you'd want an accounts package that you can add custom fields to as with custom garment decorating you'd want fields for product, code, size, garment colour and a descriptive field for deoration location/s and description of the decoration file so you dont have to double up/double entry creating a seperate job sheet as well. Ideally in this day and age you'd want cloud based solution but neither sage or quickbooks offerings allow additional fields/columns which seems a bit of a shortfall really. Sage line 50 can but thats PC based not really cloud based. So what do other do?

We use Xero for all accounting, don't get me started on Quickbooks, thieving gits. Xero is great, good support.

Xero doesn’t allow adding fields either, simple feature to add but looks like they all just do a range of format templates you can only customise with colours and your logo. zoho apparently does allow adding custom fields but actual usage support seems to get a bit of slating in reviews which is a shame.
Do you create a job sheet as well as creating an invoice then? We use our word based invoice system as a descriptive confirmation of order for customers as well as being our job sheet, trying to find a new way forward that minimises our data entry in the same way but that automates accounting.

I have been using Quickfile, costs me £58 a year I think as a large user, great forum if you get stuck. They offer a free version for you to trial with, costing is based on how many entries you have, so if you put all your ebay sales in as a weekly total rather than individual you can keep costs down.

Had already signed up for Sage cloud without realising it didn't have the ability to add custom fields so will need to cancel that. We spoke with Quickbooks about their cloud offering who don't do custom fields/columns either and we've asked Xero before who also don't have that feature. So we have taken an 14 day trial of Zoho which does offer custom fields in products, can add the garment size details etc and can also add customer extra fields. So far it's doing what is asked on the custom field side of things but not had time to go through all the requirements of setting it up and seeing how things work for what we need.

you might look at VEND - its a POS system, that auto intergrates with Xero/Stripe/paypal etc and many others. Its great as a shop till, and everything links up seamlessly. You can create as many product variants as you can be bothered with

I use Xero, I find it very easy to use, it saves hours, during vat returns and allows you to import live information, direct from your bank account. Also provides access for your accountant.

We got Zoho books As decided it’s flexibility on invoice field building was useful for listing size colour decoration location etc you can do custom field create. Links to bank okay just not tried everything yet, got three month payment holiday offered due to virus, they have other add ins like crm and support is online and quick though mostly a referral to a video to descriptive page it’s been good so far
